Club Constitution

The White Hart Folk Club meetings have agreed on the constitution below:

Constitution of the White Hart Folk Club, Mickleby, Nth Yorks September 2016

1.  Name: The name of the Unincorporated Association shall be, The White Hart Folk Club, Mickleby  (hereinafter referred to as WHFC)

2. Objects: The object of WHFC shall be:

a) to provide an opportunity for and the performance and furtherance of the acoustic music traditions of the British Isles and by doing so help to preserve such traditions.

b) to provide and encourage the opportunity for the performance of music by musicians from a broad spectrum of musical genres.

c) to provide and encourage the opportunity for the performance of poetry, dance, storytelling and song.

d) to advise, support, encourage and otherwise help (where possible) any new performers in an effort to project them forward on the folk circuit.

e) to provide entertainment and space to perform the above at WHFC.

3. Club Membership

a) membership of WHFC shall be open to all who attend WHFC and wish to become members.

b) a book is to be kept with details of those who are members of WHFC.

c) there shall be no membership fee to WHFC.

4. Officers – officers shall consist of a Chairman, Secretary and Treasurer who shall make up a Management Committee.

5. Equality policy:  WHFC. will not discriminate against people/members on the grounds of race, religion, sexual orientation or gender.

6. General Meetings:

a) The Management Committee shall convene an annual meeting in each year. Not more than 15 months shall elapse between one annual general meeting and the next.

b) The business of each annual general meeting shall include:

i   A report by The Chairman on the activities of WHFC.

ii  Consideration of the annual accounts of WHFC.

iii The election/re-election of members of The Management Committee.

iv The Management Committee may convene a special general meeting at any time.

7. Notice of general meetings.

a)  At least 28 days’ clear notice must be given of any annual general meeting or special meeting – the notice must indicate the general nature of any business to be dealt with at the meeting and, in the case of a resolution to alter the constitution, must set out the terms of the proposed alteration.

b) The notice must be posted on the club noticeboard.

c) Notice of general meetings shall be given to members via WHFC notice board.

8. Maintenance of funds:

a) WHFC takings from the door and from raffles shall be put into a bank account in the name of  WHFC.

b) A cheque book in the name of WHFC shall be obtained with the names of three designated signatories in order to draw out money from WHFC account on behalf of WHFC.

c) An account of all transactions to be kept.

d) WHFC shall operate on a not-for-profit basis.

e) No member of the Management Committee shall be entitled to a fee for carrying out their duties.

f) WHFC shall have a bank account for which all three officers shall be nominated as  signatories, with two of these signatories being required to co-sign any cheques from  WHFC account.

g) In addition to responsibility for the financial accounts the Treasurer will maintain a register of physical assets, if any, owned by WHFC.

 9. Assets of WHFC should it it cease to exist.

a) Any assets remaining after all outstanding debts and liabilities have been paid in full shall be donated to a charity or charities chosen by folk club members.
